Project Coordinator

Job Summary: The Project Coordinator is responsible for maintaining all of the project files and all the documentation associated with those files.

General Info:

  • Minimum Years of Education Required: Associate’s Degree or higher

  • Must be authorized to work in the U.S.

Responsibilities:

  • Complete and submit all required paperwork for jobs.

  • Complete and input all required information into the computer system.

  • Prepare bid documents.

  • Subcontractor bid formulation.

  • Prepare wage rates for estimating.

  • Order plans and proposals and tracks deposit fees.

  • Retrieve and sort all quotes.

  • Set up and maintain all job files.

  • Create subcontract agreements.

  • Track all Change Orders and submittals and maintain the proper logs.

  • Audit all insurance certificates for accuracy and expiration dates.

  • Ensure that all required sub-contractor paperwork is maintained.

  • Assemble owner's manuals.

  • Entry-level take-off.

  • Assist with project coordination and communication.

  • Assist Area Manager, Project Manager(s), and Estimator with administrative tasks.

Qualifications, Skills, and Experience Requirements:

  • 1 to 3 years of experience in business-related Accounting.

  • Strong working knowledge of Microsoft Outlook, Excel and Word.

  • Must have good oral and written communication skills.

  • Strong working knowledge of modern office procedures.

  • Ability to work extra hours to meet specific deadlines.

Desired Skills and Experience:

  • Experience in heavy highway and bridge construction

  • Experience in Foundation Accounting Software and HCSS

  • A Bachelor’s degree in Engineering or Construction Management
